Key Duties and Responsibilities:


*Provide superior Relationship Management, Customer Retention, Loyalty preference & devotion to corporate relationships.

*Work with Senior Relationship Managers or Segment Heads to upskill understanding of market, sales, and product understanding.

*Sell the Bank’s products to corporate customers including Multinationals, Large Corporates, Development organizations, Government, and other parastatals to enhance growth in customer numbers and achieve overall financial targets.

*Analyze and compare our product offer, service, pricing, and financial performance against competition, and give feedback from market-market intelligence, to remain relevant and competitive to be the preferred financial provider in the market.

Job Purpose

The Manager of Communications, Public Relations, and Advocacy will be responsible for leading the development and execution of communication strategies, managing public relations activities, and promoting advocacy efforts to raise awareness and support for BRAC Uganda's programs and initiatives. This role will play a crucial part in strengthening the organization's visibility and brand, building relationships, and mobilizing key stakeholders to rally behind wide ranging social and economic issues through targeted advocacy campaigns.


Duties and Responsibilities.


Communications:


• Lead the development and implementation of a multi-channel communication strategy and plan aligned with BRAC Uganda's mission, vision, and objectives and socialize it among relevant staff.

• Drive awareness and engagement through effective communication strategies and channels.

• Work closely with the programme, MEAL, and resource mobilization teams, lead the design, production and dissemination of communication and advocacy materials such as brochures, fact sheets, info graphics, audio-visuals etc. for maximum impact.

• Lead and support the programme teams to identify and document significant change stories, including case studies, photos, videos etc. that communicate the impact of BRAC’s work to key audiences.


Advocacy:


• Develop and implement an advocacy and influencing agenda aligned with BRAC Uganda's mission, vision, and objectives. This include identifying key advocacy issues, setting advocacy goals, and creating advocacy action plans to achieve desired advocacy changes.

• Create a benchmark tool to set goals for measuring strategic achievements and outcomes as per advocacy strategy plan.

• In collaboration with the Country Management Team (CMT), develop concise and effective guidelines and protocols for national and grassroots advocacy efforts.

• Advocate for BRAC Uganda's priorities, ensuring that they become central themes in the sustainable development agenda, sexual reproductive health and rights, youth empowerment, mental health and nutrition, humanitarian response, resilience and livelihoods, and other key developments in the industry.


Media and Public Relations::


• Conceive media strategies and plan/implement those strategies to enhance the positioning of BRAC Country with the media, ministries, partners organizations and donors.

• Cultivate relationships with journalists, editors, and influencers to profile BRACs work and help in advancing BRAC advocacy agenda at policy and practice levels.

• Develop and implement a social media plan that effectively communicates the impact of the work of BRAC Uganda that connects with the Ugandan public and beyond.

• Regularly monitor the Country-specific web page and sections to identify information that needs to be updated and follow through with the BRAC International Communications team to keep the website up to date.


Monitoring and Evaluation:


• Develop and implement metrics to assess the effectiveness and impact of communication and advocacy initiatives.

• Share success stories and learning related to the communications and advocacy initiatives spearheaded by the country office with BRAC International and communities of practice.

• Use data-driven insights to refine strategies and tactics.

• Ensure timely and quality reporting of the communications and advocacy activities.


Internal Coordination and Collaboration:


• Promote and maintain close working with all relevant departments within BRAC Uganda and the wider BRAC International communications team to optimize synergies and foster strong internal collaboration.

• Maintaining communication with senior management on progress and challenges, creating solutions to problems before they arise.

• Proactively collaborate with the communications team across the organization to ensure advancement of BRAC’s work and influence more partnerships through strategic communications.

• Represent BRAC Uganda in international and national conferences and meetings related to advocacy and communications.


Team leadership:


• Provide leadership and guidance to the Communications and Advocacy team to enhance their individual and team motivation, creativity, and productivity.

• Lead performance management processes for the team

• Serve as a resource to the Communications and Advocacy colleagues, through strategic leadership, mentorship, and expert guidance in their roles.


Financial Management:


• Lead the planning, budgeting and implementation of Communications and Advocacy activities in line with BRAC policies and guidelines.

• Coordinate constantly with the Finance team to ensure communications and advocacy activities are delivered to budget and submission of accurate and timely accountability.


Safeguarding:


• Uphold the BRAC vision, mission, core values and policies including an effective safeguarding policy.

• In liaison with the CMT (Country management Team) support development, dissemination and embedding of safeguarding strategy, language, and procedures in all communication products across all projects and programs.

• Establish a safeguarding culture across all levels by implementing BRAC safeguarding policies. Responsible to ensure team members are appropriately trained, supported, and have access to resources regarding issues that are identified and actioned in accordance with the safeguarding policy and procedure.

• Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.


Job specifications:


• Successful candidate should have a Bachelors’ degree in International Relations, Development Communication, Journalism, Community Development, or a relevant field. Masters’ degree in a related field will be a plus,

• at least 6-8 years of experience in communications and advocacy with a minimum of 3 years in a senior level position, Experience managing advocacy and communications initiatives and driving cross-functional alignment on shared outcomes, Development communication and campaign experience in different sectors such as education, health, youth empowerment, livelihoods, gender, and general poverty alleviation programs, Effective Communication, Interpersonal and Relationship Building skills, Emotional intelligence, Strong Organizational Skills ,Team Leadership and Management.

The (F&A Manager) supports various F&A functions (including developing, maintaining and implementing policies, procedures and systems) and manages special projects related to organisational needs and priorities as requested by the Country Director and the Global F&A team.


 

This full-time position reports to the Country Director and works closely with the Global Finance & Operations Manager, respective Program Managers and officers, Global F&A team and works closely with all country and team members.


The Finance & Administration Manager heads the Finance/Administration department and works with a team consisting of a Finance Associate and Administrative/Logistics Assistant who directly report to him/her.


 


Key Duties and Responsibilities:


Finance and accounting.


*Preparation and submission of periodic financial reports of the country program activities to Boston within agreed timelines.

*Manage the accounting system and ensure that it meets the key requirements relating to reporting to Key stakeholders including segregation of donor funds and reporting to statutory bodies.

*Focal person for all Sparkrock 365 issues including training and support to the country team

*Support the Country Director and Global F&A team to ensure that all country and global teams are informed of significant issues and developments concerning the Uganda program financial management and budget monitoring of the activities including tracking and generating budget to actual reports.

*Serve as a liaison with external partners including bank officials, auditors, government agencies, vendors and attorneys as delegated by the country director.

*Liaise with the Global F&A team, primarily through the Global Finance & Operations

*Initiate monthly funds advance requests from Headquarters based on the monthly expenditure projections of the country office activities.

*Ensure that all supporting documents are properly filed appropriately both in soft and hard copies per documented procedures and stipulated by the law for compliance and tax auditing if/when needed.

*Supervise the maintenance of petty cash level in the safe according to approved amounts at any point in time. Ensure the safe is always under lock and key.

*With support from the Global F&A team and the Country director, Lead the year-end audit exercises of the books of accounts for the country office.

*Support the Global F&A team in preparing for global end-of-year audit exercises.

*Work alongside the Country Director and other team members to proactively monitor

the budget, identify the potential for underspending or overspending and take the necessary measures to address.

Administrative/operations support


*Ensure compliance to statutory obligations in line with our International NGO status in-country with different bodies such as Uganda Revenue Authority, NSSF, National NGO bureau, Immigration office, etc.

*Manage country office inventory, including periodic quarterly/annual inventory of all equipment and supplies.

*Manage country office procurement processes, including updating the database of providers for goods and services commonly required by the country office, regular procurement of office supplies, assisting Seed partners with program-related program purchases, and coordinating deliveries and pickups of office or other supplies.

*Provide updates to Seed partners as instructed or delegated by the Country Director.

*Manage assets and office equipment.

*Supervise the administrative and logistics function to provide administrative support including general management of the office ensuring that all facilities are functioning well for a conducive work environment.


Program support.


*Oversee logistical and administrative support to the country team during country program activities and team meetings.

*Research and synthesise financial information to inform planning, strategic decision-making activities, and grant proposals.

*Responding promptly to queries and internal requests for information.

8Support the Country Director and Country team to develop, and monitor budgets and have appropriate actions in line with stipulated budgetary processes.


Human Resources support


*Prepare the monthly payroll, file related taxes and process payments against such returns (PAYE, WHT, LST).

*Maintain and update personnel files on the HR management platform.

*Support the recruitment process for new positions including local advertisements.

*Assist the Country Director and Director Human Resources in recruitment exercises as well as handling staff separation from the organisation.

Qualifications, Skills and Experience:

*A full professional qualification in accounting is desirable and a minimum of level 3 is a must.

*At least five years’ experience working in a busy international NGO setting – a minimum of three years should have been as part of senior management.

*Proficiency in ERPs such as Microsoft Dynamics, Business Central or similar software.

*Excellent proficiency in Microsoft suite especially Excel and Word.

*Proficiency in PowerBi or other data visualization and reporting software is a plus.

Job Profile:

Cambridge Education has been appointed by the Department for International Development (DFID) as Managing Agent on the Uganda Strengthening Education Systems for Improved Learning (SESIL). SESIL seeks to impact on the equity and quality of measurable learning outcomes for girls and boys in Uganda, the programme will focus on three core components:

(i) Building strong foundations – to increase the numbers of girls and boys reaching grade appropriate learning standards in literacy and numeracy in primary schools;

(ii) Enhancing assessment and exams – to strengthen the assessment system so that it leads to more Ugandan children learning what matters for their future;


(iii). Supporting a mixed economy – to support the Government of Uganda to work more effectively with non-state providers and financiers of education, including through direct support to a network of secondary schools.

The role of District Systems Strengthening Coordinator will sit within the “Programme Technical Team’ which is responsible for ensuring that all technical aspects of SESIL run effectively. This Team will be based both in the National office in MoES Legacy Towers and in the Regional Offices (Arua and Mbale)

SESIL has a package of interventions to support districts to improve learning for all children by better managing for results.
The package is made up of inter-connected and mutually dependent activities which, in combination, will strengthen district education systems in a lasting, sustainable way.
The main areas of development involve four main groups of stakeholders: district managers, school leaders and teachers, as well as parents and communities.

Specialist technical support to these district-based staff will come through the regional support teams who will provide technical guidance and operational oversight. These regional staff will work out of a small regional project office, with appropriate administrative and logistical support.
Overall technical direction and support will come from SESIL’s Kampala-based team, working in partnership with MOES and its agencies.

·        Collect on accounts by sending invoice reminders and communication with customers and members via phone, email, fax or mail

·        Post customer payments by recording cash, cheques, and credit card transactions and entering them into the general ledger or accounting software

·        Prepare cash and cheque payments for bank; totaling and recording the deposit amounts, filling out deposit slips and bundling the funds and slips; making deposits at the bank

·        Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted by the 8th day of the month

·        Reconcile Bank statements by the 8th day of the month

·        Be the focal point for petty cash approvals and replenishment processing.

·        Resolve valid or authorized deductions by entering adjusting entries

·        Resolve invalid or unauthorized deductions by following pending deductions procedures

·        Resolve collections by examining customer/member payment plans, payment history, credit line; in consultation with the CFO

·        Process monthly payroll for approval by the CFO by the 25th day of the month

·        Generate monthly, quarterly or annual reports detailing paid and unpaid invoices and other accounts receivable activity

·        Prepare for review by the CFO monthly PAYE, NSSF and VAT returns by the 5th day of the month and ensure returns are filled by the 10th day of the month.

·        Protect organization’s value by keeping information confidential

·        Update job knowledge by participating in educational opportunities

Administrative Roles

·        Carry out general secretarial duties including minute taking, and circulating/follow up on relevant action.

·        Organize and maintain the office diary of schedules and arrange for meetings.

·        Maintain oral communication with the company’s clients, members of the company and other stakeholders when requested and authorized by the responsible officer.

·        Maintain filing systems for incoming and out-going mails of both confidential and routine correspondence.

·        Tasked with maintaining proper storage and safety of Administrative files to ensure that documents are rightly arranged filed and are without errors.
